• Access Control Data: Login credentials (email + password, stored securely with encryption).
• People Management Data: Position, skills, working hours, availability, and project history.

1.2 Usage Data

• Task & Project Data: Assigned tasks, schedules, logged hours, and completion status.
• Resource Scheduling Data: Allocation of members to tasks and project timelines.
• WhatsApp Interaction Data: Task updates, reminders, and logs submitted through Momentum's AI Assistant.

1.3 Technical Information

• Device & Log Data: Browser type, operating system, IP address, and time of access.
• Cookies & Session Data: To maintain secure login sessions and improve user experience.

2. How We Use Information

We use collected information for:

• Service Delivery: Providing dashboards, scheduling, task management, and AI WhatsApp assistance.
• Team Management: Assigning roles, managing workloads, and tracking performance.
• Communication: Sending reminders, updates, and task summaries via WhatsApp.
• Security & Access Control: Ensuring role-based permissions and preventing unauthorized access.
• Improvement & Analytics: Monitoring system performance and enhancing user experience.

3. Sharing of Information

We do not sell or rent user data. Information may be shared only in the following cases:

• Within the Organization: Admins and Project Managers may access team member information as per their role permissions.
• Service Providers: Third-party services (e.g., WhatsApp Business API, hosting providers) that enable Momentum's features.
• Legal Requirements: When required to comply with applicable laws, regulations, or legal processes.

4. Data Security

• All passwords are encrypted and never stored in plain text.
• Data is transmitted using TLS/SSL encryption.
• Role-Based Access Control (RBAC) ensures users only see information relevant to their role.
• Regular audits and monitoring are conducted to prevent unauthorized access or breaches.

5. Data Retention

• Active Accounts: Data is retained as long as the account is active.
• Deactivated Accounts: Data is retained for a limited period (e.g., 90 days) before secure deletion, unless required for legal obligations.
• Logged Communications (WhatsApp): Retained only as necessary for task tracking and audit purposes.

6. User Rights

Users have the right to:

• Access their personal information.
• Request corrections or updates.
• Request deletion of their data (subject to organizational policies).
• Opt-out of non-essential communications.
